Define Categories

OBJECTIVE

The Define Categories function is used to classify catalogue items by categories. These categories can be used to search for an item, classify catalogue items or when taking physical inventory.

The method used to search for catalogue items must be by category or by classification. The classification method requires classifications to be configured with the Define Item Classifications option.

Create a category

  1. Enter the required information:

The Configuration icon is used to define entry options for the Code field.

 

Field

Description

Category Code*

Code that identifies the category.

French Description

French description of the category.

English Description

English description of the category.

Parent Category Code

Used to create a hierarchy of categories with the parent category code being the highest category in a level, in relation to another.

NOTES: No parent category code should be entered for a level 1 category.

The system only displays possible categories based on already entered level configurations.

Enable Reservations

Used to activate and allow reserving catalogue items with a cost management mode set to Non-Defined (the cost management mode of an item is set in the Accounting section of the Item Description tab, Catalogue Management option).

As such, if a catalogue item in this category, whose cost management mode is not defined, is added to a stock order from catalogue, a non-modifiable reservation number will be assigned.

NOTES: This functionality has been developed to:

  • Offer the possibility to order/transfer general items, said “special”, while limiting the multiplication of items to be created in the catalogue.
  • Allow tracking of special items, ordered quantities, received quantities, and their cost – therefore allowing, if needed, the transfer of these items to a work order and/or a project.

Fields followed by the * character are mandatory fields.
